Privacy Policy

XenoEtiquette ("we", "us") operates xenoetiquette.com. This policy explains how we handle personal data when you use the site, register for playtesting, or contact us.

What we collect

  • Playtest form: your name, email address, selected role, and any optional notes, plus operational details such as the submission time and that the registration came from this website.
  • Essential hosting logs: information our host needs to deliver and protect the site, such as IP address, browser type, and the page requested.
  • Optional analytics, only after you accept them: pages or URLs visited, referrer information, timestamps, and related technical analytics data.

If you have not accepted analytics, or if you have rejected them, we do not load Vercel Web Analytics and we do not collect that optional analytics data.

Why we use it

We use playtest details for future playtest invitations, scheduling, session follow-up, and other communication directly related to XenoEtiquette playtesting and the project. We do not sell your personal data.

We will use your contact details only to contact you about playtesting and related project communication. You can ask us to remove your details at any time.

Playtest registration

The production playtest form is for the playtest programme. It is not a general newsletter and it is not a general marketing subscription. You can use the form whether or not you accept analytics.

Analytics and browser storage

The site can use Vercel Web Analytics. Analytics are optional. They stay off until you explicitly choose Accept. You can choose Reject instead. The rest of the website still works if you reject analytics.

You can change or withdraw that choice later through Cookie settings. Withdrawal stops future analytics from loading. This policy does not describe analytics data as anonymous.

The site stores a few things in your browser:

  • Your analytics choice, so we can remember whether analytics are allowed.
  • A short memory of the Bureau arrival sequence, so returning visitors skip the full introduction. That is part of the site experience, not analytics.
  • Analytics attribution data only after you have accepted analytics.

Hosting the site, the arrival experience, and playtest registration are essential or functional. Vercel Web Analytics is the optional tool. Using the site does not turn analytics on by itself. The Evidence page video is a file on this website. Social links leave the site only when you follow them. Bureau pages do not embed YouTube or Vimeo players.

Service providers

  • Vercel hosts the website and, only if you accept, provides Vercel Web Analytics.
  • Google Sheets and Google Apps Script store and process playtest registrations.

International processing

Vercel and Google may process personal data outside the EU/EEA. This policy does not describe a specific international-transfer arrangement for those providers.

Legal basis (GDPR)

If you are in the EEA, optional analytics are used only with your explicit consent: the Accept choice in the privacy banner or in Cookie settings. You can refuse analytics, and you can withdraw an earlier acceptance through Cookie settings.

The playtest form is voluntary. We use the details you submit for the playtest purposes in this policy. Sending the form is not consent to analytics and is not a general marketing subscription. This notice does not name a further legal basis for playtest registration.

Storage & retention

Playtest registrations are stored in Google Sheets, including through Google Apps Script where that connection is used. We keep them only as long as we need them for the playtest programme and related communication, or until you ask us to delete them, unless we must keep them longer for a legal obligation. This policy does not set a fixed retention period.

If you accept analytics, how long that analytics data is kept is controlled by Vercel. This website does not define a fixed analytics retention period.

Your rights and choices

You may request access, correction, or deletion of your data at any time by emailing humans@xenoetiquette.com.

You can change or withdraw analytics consent at any time through Cookie settings. That does not, by itself, delete playtest details you have already sent.
